5.7 Swapping two players
As a means to combat time zone problems and the like, captains may swap two players within a match if this improves chances of games getting played. This may be done only once per match and does not count towards the maximum number of subs allowed.

Suppose way around that mate is if the other captain would do the swap if they have not done a swap yet. Would probably wait until it was necessary, like you said if they are both online as deadline is drawing closer

8.4 Sending info to the league staff
Clan captains are expected to make sure all relevant info (for example private messages) are sent to dgeneratio or kev04 no later than 24 hours after the fixture deadline. After that, the default is processed, with or without support info, and all decisions are final at that time.

last time there was a little problem with sending messages so i urge you to send them in this time.
